Bid Writer

Job Purpose

To support the Regional Sales Director in the completion and management of the tender process, ensuring our strategy to win the business is clearly articulated in a professional manner. Working with a wide ranging mix of personnel to deliver on this activity.

Duties and Responsibilities

  • To deliver high standards of work through supporting others to complete tender questions
  • To help in the achievement of the sales target through quality submissions which improve our conversion ratio from submission to success
  • Ensure all documents are free from errors and professionally represent
  • To develop an effective library of information and liaise with other departments to keep this updated
  • To write and develop content for tender responses which are bespoke to the target
  • To work with the bid team to create marketing activity to fit within guidelines e.g. invites for events and case studies
  • Coach other team members to improve our overall achievement including the Bid Writer
  • Sets and achieves tender deadlines by managing others effectively
  • Ensure all stakeholders receive regular feedback and advance notice of upcoming activity
  • Ensure you are known so new information is sent to you without having to ask
  • Contributes to documents by questioning others against the client objectives
  • Edit all content received to ensure meets standards and is bespoke to each prospects requirements
  • Be up to date with our prospects and competition to ensure responses are bespoke and deliver our strategy clearly
  • Deliver on time bespoke documents, editing all content received from the business
  • Applies appropriate solutions to client needs or culture
  • Actively looks at ways to over deliver for our clients
  • Understands the difference between customers and clients
  • Keeps up to date with group business ventures and services, competitors, relationships with customers, clients and suppliers, market evolution
  • Helps identify additional opportunity by getting to know client requirements
  • To liaise with and network with key personnel and external clients to ensure a seamless approach to Bid Management
  • Provide technical support, ensure the layout of the documents is correct and to a high standard
  • Builds relationships with colleagues to call upon if required to achieve a deadline
  • Achieve deadlines by motivating others to send content for tenders
  • Targets and develops a network of influential internal and external contacts
  • Works with colleagues to fully understand our target clients and what they are looking for
  • Adapt style for different team members to maximise their output
  • To manage effectively the internal bid process for the region and control and support completion of all tenders that are sent out
  • Setting all deadlines for information to be received and managing these deadlines
  • To prepare presentations in a number of formats, liaising with agencies to design templates etc
  • Know at all times where we are against deadlines and communicate accordingly
  • Sets challenging but attainable goals for self and others and clearly communicates deadlines
  • Uses a variety of styles to persuade or negotiate appropriately
  • Minimises the impact of change on a tender process by building in contingencies
  • Checks with individuals to ensure clarity about what is expected of them
  • Actively controls the course of the interaction to achieve the desired result
  • To actively promote your own development to ensure ongoing sales success
  • Ensure the requirements of the Business Conduct Policy are fulfilled at all times
  • Ensure that promises made by the team or any member of the wider team are kept and commitments are honored in an honest and responsible way
  • Ensure all team members behave in a professional manner at all times by adopting and following the Business Conduct Policy
